A specialist is leaving. Her way of working does not have to leave with her.

The senior tax adviser leaves in six weeks.

86 active and recurring case files partly depend on her expertise. For 17 recurring tasks, the way of working exists mainly in personal notes and earlier case files.

This is a fictional example of how DyReP would structure such a request. It is not a completed client case.

The task

Selecting the critical ways of working, validating the foundation, handing over responsibility and making visible where human judgement is still needed.

Storing everything she knows is not the goal.

The foundation

Four types of source play a part:

DyReP does not automatically combine these sources into a single account of what applies.

First it has to be clear which knowledge applies, which exceptions exist and who may decide on them.

The way of working

    Which ways of working are critical enough to make explicit before she leaves?

    Validate

    The departing expert assesses what is right, what needs context and what cannot be handed over without guidance.

    Assign responsibility

    For each way of working, it becomes clear who will own it, carry it out and review it after the handover.

    Prepare the appropriate result forms

    The same foundation is presented differently for the successor, management and the reviewer.

  5. 05

    Set the limit

    Exceptions and decisions that still need human judgement stay with people.

Make the next task manageable without relying on undocumented knowledge.

The emphasis is on an understandable order of work, examples and moments to ask for help. Translate the recorded way of working into a concrete order of work, with sources, examples and review moments.

  1. Start with the validated example documents and follow the recorded order of work.
  2. Follow the order of work and mark every deviation.
  3. Put the result to the designated subject-matter reviewer.

Human authorityThe new employee carries out the work within the route; a designated reviewer confirms exceptions and results.

Human authority

The designated responsible person decides whether a way of working has been validated well enough to hand over. DyReP does not decide that.

DyReP records that decision and keeps it visible in later results.
